6.6 Members Notifications
Purpose
Collaboration is an important part of being person centered. All the supports involved in an Individual’s life create a network that plays a part in supporting the Individual. As such meetings (Multi-Disciplinary Team-MDT) are often needed to discuss the support of a common individual. When activity occurs on the COP of a common Individual, support members may need to be notified.
Do not put Individual/Family names in subject lines of notifications/emails
Procedure
Method 1: Notification of Action
Anchor Point: Activities tab, sub tab Actions of the Common Outcome Plan
- When an action is created or the progress changed, a notification is sent to the email of the support network members who were selected under ‘Sharing’
Note: When updating progress, if you do not want the Support Network members to be notified, edit the action and uncheck the ‘sharing’ boxes and those members will not get notification when progress is updated
- The email notification received by the Support Network will look like this:
Method 2: Notification of Team Collaboration Note
Anchor Point: Support Network tab of the Common Outcome Plan
- When a Team Collaboration Note has been created, a notification is sent to the email of the support network members who were selected under ‘Sharing’
- The email notification received by the Support Network will look like this:
Method 3: Meeting Notifications
Anchor Point: Admin tab of the Common Outcome Plan
- When an Collaboration meeting invitation has been created, a notification is sent to the email of the support network members who were selected under ‘Sharing’
- The email notification received by the Support Network will look like this:
- Like any other Outlook meeting, Invitees can accept or decline from the email, and responses will be sent to a generic email box. To see who is attending, go into the meeting in your calendar and look under ‘scheduling assistant’. The meeting invite will also be sent to you, the sender to appear in your calendar.
Note: If the email attached to the Support Network Member is not a valid email, do not select that member under any sharing categories as you will get an invalid email notification back.
