05 Searching for Client Data

As an integrated information technology system, Mobius has and is connected to, a large amount of data. There are several different ways to search for information.  Which search will work best for a user depends on what they are searching for and where they would like to search. The search could look in Mobius only, Mobius and the Master Data Hub (MDH)  or MDH only. This section deals with the various ways of searching for an individual and the information associated with them. For searching employers and product providers please see their respective sections.

Person Search

The Person Search function returns individuals who have been registered in Mobius and Prospects. The registered persons display at the top of the list and Prospects are appended to the bottom of the list. For external users, a maximum of fifteen registered individuals plus prospects will display. For internal users, a maximum of one hundred registered individuals plus prospects will display.

For the registered individuals Mobius sends the search criteria to the Master Data Hub (MDH), indicating that only Persons registered in Mobius are to be returned. MDH retrieves Person records that satisfy the specified criteria and returns these to Mobius with a match score (indicates how closely the result matches the full set of specified criteria). Mobius presents the Registered Person records in order of the match score (from highest to lowest). 

For Prospects, Mobius searches within itself, for all Prospect Persons that match the specified criteria. Prospects are not in MDH.

  1. Select Person Search, from the Searches section of the Shortcuts Panel.
  2. Enter the search criteria.
  3. Select Search.
  4. Select the applicable record.

For the best search results, enter the individual’s full first name and last name with Date of Birth or Reference Number (for example: SIN or EIIID), into the search criteria.

Note
Records listed with a duplicate symbol (a green circle with two figures inside) beside the name, indicate a duplicate record. If selected, the user will be brought to the keeper record.

Search and Register

The purpose of searching for an individual before registration is to determine if the individual is already registered in Mobius, the Central Client Directory (CCD) or the Enterprise Database (EDB). The Master Data Hub contains the individuals from these three systems and updates in real-time when an individual is added to one of the systems. The Search step of the Search and Register function looks for individuals in the Master Data Hub (MDH). For external users, a maximum of fifteen individuals will display. For internal users, a maximum of one hundred individuals will display.

  1. Select Search and Register from the Registration section of the Shortcuts Panel.
  2. Enter the search criteria.
  3. Select Search.
  4. Review the results. If a match is found, and the Registered? Column is Yes, select the hyperlink of the person’s name. The Person Record will display.
  5. Add to and update the record as required.

Search and Register – Not Previously Registered

Anchor Point: Workspace Section

  1. Select Search and Register from the Registration section of the Shortcuts Panel.
  2. Enter the search criteria.
  3. Select Search.
  4. Review the results list. If no match is displayed, select the Next button.
  5. Complete all mandatory and required fields.
  6. Select Save. The Person Record will display.
  7. Add to and update the record as required.

Search and Register – Registered in MDH

Anchor Point: Workspace Section

  1. Select Search and Register from the Registration section of the Shortcuts Panel.
  2. Enter the search criteria.
  3. Select Search.
  4. Review the results list. If a match is found, and the Registered? Column is No, select the checkbox next to the matching name and select Next. Step 2 of the registration wizard will display with information pre-populated from MDH.
  5. Select Save. The Person Record will display.
  6. Add to and update the record as required.

All Participants Search

The All Participant Search function looks within Mobius to return Prospects and registered individuals.  Prospects that are new and those that have been merged to registered records are displayed. Keeper records and duplicates that have been either marked or merged will all show in the search results.

  1. Select All Participants from the Searches section of the Shortcuts Panel.
  2. Enter the search criteria.
  3. Select Search.

Quick Reference Search

The Quick Reference Search can be accessed from anywhere in the application and allows a user to enter a reference number and search all participants and cases within Mobius. If the reference number entered matches the alternate identification for a participant, their participant information is automatically displayed. If the matching participant also has one or more related cases, the system returns a set of search results which includes both the participant record and the related cases.

  1. Enter a reference number into the Quick Reference Search field on the application banner.
  2. Select the search button (has a magnifying glass on it).

Application Search

The Application Search function finds program application cases within Mobius. Program applications are not in the Master Data Hub (MDH).

Anchor Point: Workspace Section

  1. Select Search for an Application from the Searches section of the Shortcuts Panel.
  2. Enter the search criteria (ensure the Social Assistance Application checkbox is selected).
  3. Select Search.

Case Search

The Case Search function finds client cases within Mobius. Cases are not in the Master Data Hub (MDH).

  1. Select Case from the Searches section of the Shortcuts Panel.
  2. Enter the search criteria.
  3. Select Search.
