P20. Modify/Delete a Session
If a Session is being cancelled, or if there is a change to the Provider Location, Number of Seats, Start/End dates or if the Program/Course is being deleted/ended, this process describes how to modify/delete a Session for a Provider. The Contracted Service Coordinator (CSC) amends the agreement/contract if appropriate, and Delivery Partnerships Unit (DPU) provides approval if applicable and ensures appropriate records are updated.

Pre-condition(s)
Provider is registered in Mobius, Plan Items have been linked to the Provider and Program/Course/Session has been created and activated in Mobius.
Trigger
CSC or DPU has amended an agreement/contract.
Employment and Financial Supports Division – Contract Services Coordinator
P20.01
If there are referrals that will be affected by the modification/deletion of the Session(s), notifies Plan Item Owner to amend Service Plan.
Employment and Financial Supports Division, Front End Users – Service Management/External Providers, Front End Users, Service Management
P20.02
Cancels Plan Item(s) and enters new Plan Items with amended referral if appropriate.
Employment and Financial Supports Division – Contract Services Coordinator
P20.03
If there are no referrals that will be affected by the modification/deletion of the Session(s), notifies Mobius Support Office via an electronic ‘Request New or Amendment to Product Provider, Programs and Services Catalogue’ (RNAPP) form to modify/delete the Session(s).

P20.04.01
If information is missing or there are referrals that would be impacted by the modification/deletion, refers back to originator.
P20.04.02
If information is complete and there are no referrals that would be impacted by the modification/deletion, modifies/deletes Session(s).
P20.04.03
Notifies originator of completion via email.
Business Rules/Criteria/Standards
If Human Services has approved a program, the provider must obtain approval from Human Services before making any changes to:
- Program Name
- Program Type
- Program Term
- Location
- Instructional Hours per Week
- Instructional Hours per Seat
- Tuition and Mandatory Fees per Seat
- Student Association Fees and/or Book and Supply Costs.
Sessions cannot be deleted if there are referrals.
Before modifying a session, need to ensure it doesn’t negatively impact referrals.
Sessions cannot be modified if the start date has passed.
Seats may be adjusted, but need to ensure referrals are not impacted.
